NEW POLICIES & PROCEDURES


Dear Clients,
We have updated many of our policies and procedures. It is very important to please read through this entire page before your appointment. This list includes New Policies, How to Book Appointments, Treatment Changes, Coming to the Office, Payment Policies and our Sanitary Protocols. NEW POLICIES:

Masks / Face Coverings are Required: 
  • Clients and therapists are required to wear a mask the entire time you are in the office.
  • This is an Executive Order from Governor Raimondo.

How to Book an Appointment: 
  • Online booking is NOW AVAILABLE – please sign in and check for availability.
  • Phone booking is also available at (401) 453-4263 or (401) 884-0600. You can call in advance to request an appointment. Please leave a voicemail message if there is no answer.
  • We are currently not allowing walk-in appointments.
  • Same day appointments may not be available. Please plan to book your appointment in advance.
  • ALL NEW CLIENTS will be required to hold their FIRST APPOINTMENT reservation with a credit or debit card.
    • All card information is securely held, within our booking system, according to our policy.
  • ** See below for instructions on how to check-in on the day of your appointment when you come to the office.

COVID-19 Symptom Checks:
  • All clients will be asked a questionnaire regarding COVID19 symptoms, three times:
    1. When you call to book your appointment.
    2. 2-days prior to your appointment date. (**This call may be from a Private Number, We will leave a message if you don't answer, Please just return our call as soon as possible)
    3. Same-Day check-in with your therapist, right before your scheduled appointment time.

Massage Therapist Temperature Checks: 
  • Therapists will take their own temperature upon coming to the office and record it throughout the day.
  • Any therapist with a temperature reading of 100.4 degrees or higher or displaying any symptoms of COVID-19, will not be able to provide treatments or be in the office. Appointments may need to be rescheduled, if this occurs.
 
Treatment Consent:
  • If client is under 18 years of age, a parent or legal guardian is required to stay in the treatment room for the duration of their first appointment. If the client is under 16 years, of age a parent or legal guardian is required to stay in the treatment room for the duration of every appointment. The parent or legal guardian will need to fill out our 'Massage on a Minor - Consent Form'.
 
Scheduling for At Risk Clients: 
  • If you are over the age of 65 and/or have significant health issues that limit your ability to fight off illness, we ask that you postpone scheduling an appointment until RI and the surrounding states have gone through all phases of reopening at a later date.
 
Treatment Changes:
  • Facial massage techniques will be absolutely avoided at this time.
  • Integrated Sinus Relief Therapy treatments are not available at this time.

Cancellation Policy:
  • We request the courtesy of 24 HOURS notice of your cancellation.  
  • A cancellation fee of $30 will be charged for cancellations less than 24 hours.
  • Please call 401-453-4263 or 401-884-0600 or email bodykneadsinc@gmail.com 24 hours before your appointment to notify of your cancellation.
  • 'No Show/ No Call' on the day of your appointment will be charged the full amount of your scheduled treatment price.
  • Due to COVID-19 precautions, the cancellation fee will not be charged if you need to cancel due to symptoms or exposure, but please still notify us as soon as possible.

Late Arrivals:
  • We regret that late arrivals will not receive time extensions and will still be responsible for the full payment of your treatment.
 
Visitors in the Office:
  • Friends and family of the client are not allowed to wait in the reception/lobby area while the client receives massage, unless they are that client’s legal guardian.
 
Water and Tea:
  • We will no longer be offering water or tea before or after treatments.
  • Please bring your own water bottle. -- Hydration is important before and after your treatment.

EMAIL Notifications: 
  • Once your appointment is scheduled over the phone, an email will be sent to you with a link to our updated policies and procedures.
  • Also, 30 hours before your appointment your confirmation email will be sent to you.

TEXT MESSAGE Notifications: 
  • Once your appointment is scheduled over the phone, a text will be sent to you with your appointment date, time and office location.
  • Also, 2 hours before your appointment, your confirmation text message will be sent to you.

Birthday Discount:
  • This discount has been extended. You can now use your emailed birthday discount within 90-days of birthday.

Gift Certificates & Gift Cards:
  • Online Gift Certificates can be easily purchased online and then can be emailed as .PDF file or printed out for your gift recipient.
  • Gift Cards & Certificates never expire and can be redeemed at either location of Body Kneads, Inc.
  • Gift Cards are available for purchase at our offices, *by appointment only at 251 Waterman Street - Providence RI and 1050 Main Street - East Greenwich, RI. Please call ahead!
  • Gift certificate recipients are responsible for paying the difference if there are any treatment price changes.

Series, Discounts & Coupons:
  • Discounts, Promotions, Series & Coupons cannot be combined. 
  • Only one (1) discount per person per appointment.
  • Expired Groupon and Amazon Local Vouchers will be accepted but, can only be used for the paid value listed on the coupon toward same treatment.
  • ALL series must be paid in full ​before or at your scheduled appointment.
  • Series will automatically be applied to the purchaser and CANNOT be shared with another person.
  • GIFTING A SERIES: Series CANNOT be bought on a Gift Certificate, instead please Purchase a Gift Certificate for the total amount of the series. The person receiving the certificate will then be able to purchase a series under their own name and account.
  • ** Series can ONLY be used for the treatment type and length specified in the name of the series.​
  • Series can be used at both Body Kneads locations - Providence & East Greenwich.
  • Series will never expire and cannot be combined with any other discount, coupon or promotion.​

COMING TO THE OFFICE:

1) Before you Enter the Office: 
  • Clients are asked to arrive no more than 10-minutes before your scheduled appointment time.
  • Please wait in your parked vehicle and call the office to check-in to let us know you have arrived and are parked outside.
  • You will then be called back by your therapist to complete an updated health history intake and same-day COVID19 symptom check over the phone. Your therapist will then ask you to come to the entrance for a temperature check.
  • Clients are required to wear a mask upon entering the office and must stay on for the entire visit, including during your treatment.

2) After your therapist invites you to the Entrance:
  • East Greenwich Location Entrance - Enter and exit from the deck side of the building (park on the Women & Infants office side)
  • Providence Location Entrance - Enter and exit the office from the front porch. (free street parking is available)
  • Your therapist will greet you at the entrance door to take your temperature with a contactless thermometer before coming inside. 
  • If your temperature is 100.4 degrees or higher you cannot receive treatment or enter the office. Your appointment will be rescheduled over the phone without penalty.
  • We are avoiding practices such as handshaking or hugging. A simple wave, hello, is just fine!
 
3) Sign-In Sheet:
  • All clients will Sign-In on our Contact Tracing & COVID19 Consent form.
  • This Contact Tracing & COVID-19 Consent form will be used to record your temperature.
  • This form also will be used to notify all therapists and clients that were in the office and the Rhode Island Department of Health, if someone who has recently visited notifies us of COVID-19 symptoms or a positive COVID-19 test result.
 
Before your treatment begins:
  • Once inside, clients will first wash/sanitize their hands, and then proceed to the sanitized treatment room.
  • If you are a new client, you will fill out a health history and treatment consent forms inside your treatment room.
 
During your treatment:
  • Casual conversations will be limited.
  • Wearing the mask makes it difficult to talk for long periods of time without getting very warm and the CDC advises decreased talking to lessen the number of particles in the air.
  • Always communicate about the pressure to your therapist and any needs you may have during the treatment.
  • Facial massage will be absolutely avoided.
 
After your treatment:
  • You may be asked to remain in your treatment room to finish processing your payment or wait for another client in the lobby.
  • Please wait for your therapist to direct you before leaving the treatment room.
  • Clients will wash/sanitize their hands immediately after leaving the treatment room, before exiting the building.
 
Treatment Etiquette:
  • Body Kneads is committed to a professional and safe environment.
  • Our therapists will not tolerate any inappropriate language, conduct or sexual connotations.
  • If behaviors are deemed inappropriate, the treatment will be ended immediately and you will be responsible for the full amount due.

NEW PAYMENT POLICIES:

  • ​We accept Cash, Check, Visa, MasterCard, Discover and American Express. 
  • You can also pre-pay with a Series Discount.
  • Gratuities are not included in any treatment price and may be given at your discretion. (Please see payment methods below)
  • ALL NEW CLIENTS will be required to hold their FIRST APPOINTMENT reservation with a credit or debit card.
  • All card information is securely held, within our booking system, according to our policy.
  • Refund Policy: In house credit only. This applies to any unused portion of a series, gift certificate or pre paid appointment. The unapplied money can be used toward a Body Kneads gift card/ certificate or an appointment for someone else.

How to pay with a Credit / Debit Card:
  • For a quicker, touch-less check-out,  you can securely store a credit card number you have given Body Kneads, Inc. permission to use for our cancellation policy on our booking system, Booker.
  • You can use any card saved on your account for payment for an easier touch-less checkout.
  • Please call the office before your appointment and we can securely add your card information to your account for fast and easy checkout after your treatment.

How to Pay with Cash:
  • Prepare ahead of time to bring the exact amount you plan to pay in cash.
  • There will not be any exchange of cash to make change.
  • If you plan to pay cash, an envelope will be available for you at the desk.

How to Pay with a Check:
  • Please have your check written out before coming into the office for your appointment.
  • If you plan to pay by check, an envelope will be available for you at the desk.

Sanitary Protocols:

  • New Check-in Process to ensure social distancing:
    • Clients are asked to arrive no more than 10-minutes before your scheduled appointment time.

    • And then, you will be asked to come to the entrance.
  • Signs are placed around the office to ensure proper hand washing and social distancing.
  • Time between appointments has been extended to allow for proper sanitation.
  • The lobby areas have been rearranged to ensure social distancing is maintained and to avoid cross-traffic.
  • Disinfecting all high-touch surfaces (surfaces that are handled frequently throughout the day by numerous people) between clients with an EPA-registered disinfectant. High-touch surfaces include door handles, counters, tabletops, pens, or pencils used to complete paperwork, clipboards, desks, light switches, stairway bannisters and touch screens.
  • Each treatment room and all surfaces will be disinfected, with an EPA-registered disinfectant, after every client between appointments.
  • Hand sanitizer, facial tissues and hands-free trash receptacles are available throughout the office.  
  • Automatic touch-less soap dispensers and paper towels are available in the restrooms.
  • Windows will be opened in each treatment room at our Providence Location.
  • Air purifiers with HEPA filters are used in each treatment room for air circulation at our East Greenwich & Providence locations.
  • Disposable face cradle covers will be used for each treatment.
  • Plastic face cradles, table covers and pillow covers will be used under the sheets and other cloth coverings during the treatment.
  • Clean linens and soiled items will be stored separately in closed containers.
  • All vacuuming will be done when there are no clients in the office with a HEPA air filter running, if possible.
  • Restrooms will be deep cleaned at the end of the day by cleaning the toilet bowl, toilet seat, the toilet lid, the walls around the toilet, and all surfaces with appropriate cleaning products and an EPA-registered disinfectant.
